Privacy Policy
IntelliDesk (“we”, “us”) runs IntelliDesk, a service that lets businesses train an AI support agent on their own content and answer website visitors through a chat widget and a hosted help page. This policy explains what we collect, how we use it, who helps us run the service, and the choices you have.
We don’t use your data to train AI models.
Your content and your visitors’ chats are only used to run your agent. We don’t sell your data, and we don’t use it for advertising.
Who this policy covers
Customers are the businesses and people who sign up for IntelliDesk. Visitors are the people who chat with an agent a customer has put on their website or help page.
Customers decide what their agent is trained on and what it asks visitors. We handle visitors’ chats on the customer’s behalf, so if you chatted with a business’s assistant, that business’s own privacy notice applies too, and they’re the best first contact for questions about your chat.
What we store
- Account information: your name, email address and a hashed version of your password (we never store the password itself). If you sign in with Google, we receive the name and email address Google shares with us.
- Your workspace: workspace and agent names, instructions, widget and help page settings, the tools you connect, and the email addresses of teammates you invite.
- The content you upload: files, text, pages we read from websites you point us to, and Q&A pairs, plus the searchable passages we create from them.
- Your visitors’ chats: the messages visitors send, your agent’s replies, files visitors attach, ratings and feedback, and any details a visitor chooses to share, such as a name, email address or phone number. We also note the page a chat started on and an approximate country based on the visitor’s browser time zone. If your website tells the widget who a signed-in user is, we store the details you pass.
- Billing: for paid plans, your subscription status and billing contact. Card details are handled by Stripe and don’t pass through our servers.
- Messages to us: what you send through our contact form.
We use IP addresses to protect the service from abuse, for example to limit how fast one address can send messages. We don’t store them with chats.
How we use it
- To run the service: train your agent, answer your visitors, and show you chat logs, leads and analytics.
- To write replies: we send the conversation so far, your agent’s instructions, the most relevant passages from your content, and details the visitor shared or your site passed in (such as their name or the page they’re on) to the AI model provider your agent uses, and store the reply in your chat logs.
- To send service emails: email verification, password resets, team invitations, and the alerts and notifications you turn on, such as new leads or running out of message credits.
- To keep the service secure, prevent abuse and fix problems.
- To answer you when you contact us.
Who helps us run IntelliDesk (subprocessors)
We use a small number of service providers. Each one only receives what it needs for its job.
| Provider | What they do | Data involved |
|---|---|---|
| AI model providers, such as Anthropic or OpenAI | Write your agent’s replies | The conversation so far, your agent’s instructions, the most relevant passages from your content, and details the visitor shared or your site passed in (such as their name or the page they’re on) |
| Email delivery | Send account, notification and handoff emails | Email addresses and the email’s contents |
| Payment processing by Stripe | Take payments for paid plans | Billing contact and payment details (card numbers go straight to Stripe) |
| Cloud hosting | Run the service and store its data | Everything described in this policy |
When you connect a tool yourself, such as Slack, a help desk or CRM, or a webhook, we send it the data you set up, and that tool’s own terms apply. Our providers may process data outside your country, including in the United States. We may also disclose information when the law requires it.
How long we keep it
- Chat logs and leads are kept until you delete them or close your account.
- Your content and settings are kept until you delete them or close your account.
- When you close your account, we delete your workspace data within 30 days.
- We keep billing records for as long as tax and accounting laws require.
Your rights and choices
- Access and export: export chat logs, leads and contacts from your dashboard, or ask us for a copy of your data.
- Correction: update your details in your account settings, or ask us to.
- Deletion: delete sources, chats, leads and agents from your dashboard at any time, or ask us to close your account and delete your data.
To make a request, use our contact form. We’ll reply as soon as we can and within the time the law requires. Depending on where you live, you may have other rights, such as objecting to certain uses or complaining to your local data protection authority.
Visitors: to access or delete a chat you had with a business’s assistant, contact that business. We’ll help them with your request.
Cookies and browser storage
We use a cookie to keep you signed in to your dashboard. We don’t use advertising cookies or tracking pixels. The chat widget keeps an anonymous visitor ID and the current conversation in the visitor’s browser storage so a chat can continue from page to page.
Security
We protect your data with encryption in transit, hashed passwords and access controls that keep each workspace separate. Read more on our Security page.
Children
IntelliDesk is a service for businesses and isn’t meant for children.
